GENERAL SUMMARY OF DUTIES: Responsible for scheduling patients for outpatient services.  Responsible for maintaining tracking log of referred patients and for providing requested tests results, medical records, etc. to specialty physician as needed.

SUPERVISION RECEIVED:  Reports to Physician Coordinator.



  1. Maintains adequate staffing and coverage in department on a daily basis until all patients have completed their appointments.
  2. Documents all items in the practice management system and the document imaging system in a timely manner.
  3. Occasionally arranges emergency appointments for patients. 
  4. Assists with answering the telephone and provides information as requested for patients that have been scheduled for outpatient and ancillary services.
  5. Recognizes and maintains the confidentiality of the patient.
  6. Checks email and document management system's messaging and task list system frequently.
  7. Verifies patient information and completes necessary documentation.
  8. May schedule surgical procedures.
  9. Performs computer access and input of patient information.
  10. Utilizes proper telephone skills to communicate appropriate information in a courteous and professional manner.
  11. Promptly responds to customers in a friendly manner, listening carefully and using customer's name.  Every customer greeted with a smile.
  12. Is consistently courteous and helpful.
  13. Displays a positive appearance including appropriate dress as defined in employee handbook, and wears visible identification badge at all times
  14. Answers telephone promptly, consistently identifies self and department, and returns calls promptly.
  15. Is responsible for ensuring that all patient, facility, and employee information is not compromised.  
  16. Commitment to Co-Workers (A co-worker is anyone within Carrell Clinic with whom you interact).
  17. Takes pride in organization as if you owned it, speaks positively about the organization, and practices safety as a work habit.
  18. Reports to work at scheduled time.
  19. Record shows infrequent absences.
  20. Attends departmental in-service training and education programs.
  21. Supports and participates in various teams as is able.

EDUCATION:  High School Diploma or equivalent. 

EXPERIENCE:  A minimum of two years previous Medical office experience desired. Previous exposure dealing with physicians face-to-face on a regular basis.

REQUIREMENTS: A good grasp of standard written and verbal English, good spelling, and grammar.

KNOWLEDGE: Must have general knowledge of medical practice and terminology.

SKILLS: Must meet and deal successfully with a wide variety of people.

ABILITIES: Able to work in a fast-paced stressful environment.

While performing the duties of this job, the employee is regularly required to talk or hear.  The employee frequently is required to sit and use hands to finger, handle, or feel objects, tools, or controls.  The employee is occasionally required to stand, walk, and reach with hands and arms.  Employee must frequently lift and/or move up to 10 pounds.  Specific vision abilities required by this job include close vision and the ability to adjust focus.

TOOLS AND EQUIPMENT: General office equipment; i.e. telephone, copier, and fax machine and computers.
